Hewlett Packard's built-in Lotus-123 spreadsheet would make a wonderful list manager except for one thing-- data entry often requires so many keystrokes that it becomes impractical for everyday use. Take today's date, for instance. While it's true that typing @NOW will do the trick, if you want your dated entry to remain unchanged from day to day, you have to change the @NOW entry into a value. This requires the keystrokes [menu]R(ange)V(alue)[Enter][Enter] which will convert @NOW into a permanent date entry. If you want to enter yesterday's date, it's nearly as bad. Try @DATE(94,12,25) for the day Santa arrived.
One solution, of course, is to write some macros to automate data entry.
There are at least three reasons to add Lotus list management to your HP toolkit. The most compelling is a need for calculated fields. If you bill for your time, for instance, a spreadsheet can be used to maintain a datalist of your billable contacts along with the start, stop and elapsed times and charges for each encounter. Alternatively, you can use a spreadsheet list to keep track of business trips and expenses with a running total to prevent overspending.
A second benefit of a spreadsheet list manager is the freedom to keep your "heavy-duty" database application, say a personalized ToDo manager, active while switching to the list manager with a hot key. This is often much faster than exiting one HP database, loading another then returning to the first. This essentially adds a second open database that you can use along with a built-in HP database.
Finally, if you need to share several differenare than databases using Hewlett Packard's format.
After browsing library offerings on Compuserve, I decided to create my own list manager, which I call DVListr. I've tried to keep the rules simple. I wanted to create simple lists for recording such things as daily odometer readings, expenses that are reimbursable, time spent reviewing charts, names and artists from my CD collection, and names and diagnoses of patients seen in consultation. Each of these simple databases would consist of four to five fields, or columns, as viewed with 123 zoomed to the largest font size.
I wanted a macro for entering the current date and time, one for converting an entry such as 1/1/94 into a date and one that would allow me to correct a previous time entry by adding, or subtracting, hours and minutes. I wanted the ability to enter new records on one line, add them to the database when completed and modify or delete them if needed. As the macros were developed, I decided that a single set of macros should apply to all databases and that setting up a new list should be kept as simple as possible.
